Job Overview
The Development Assistant has the responsibility of handling a wide variety of administrative and support duties for the upcoming capital campaign within the Office of Development. The qualified candidate primaries responsibilities will include maintaining the donor database, input of data and gift entry to ensure the accuracy of cash gifts, stock donations, and pledges, and day to day communication with donors and benefactors. This role will have the opportunity to be on the ground floor of the conversion and implementation of a new data platform. This position requires flexibility, attention to detail, a sound understanding of data mechanics, and the ability to work collaboratively.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Maintains and is responsible for the donor database and associated policies and procedures related to gift entry, acknowledging, pledge reminders, and other gift-related procedures
- Enters contributions into database software from all sources: website, cash, checks, automatic transfers and gifts-in-kind. Completes adjustments, write-offs and installments • Troubleshoots donation and payment issues
- Creates and runs queries, processes reports as needed, and analyzes data for accuracy
- Provides reports for reconciliation with the Accounting Department
- Coordinates and works closely with the Director of Development on donor information management
- Serves as primary interface with the database software provider
- Creates/prints/mails acknowledgement letters as needed for gifts and events
- Responsible for creating new entity records for donors, prospects & corporations and coding deceased individuals
- Responds to routine inquiries, by telephone, email or through other means, from individuals, organizations, donors and parishes.
KNOWLEDGE, SKILLS AND ABILITIES
- Must have excellent computer skills to include Word and Excel
- Database management experience
- Highly detail oriented with a critical degree of accuracy regarding data entry and analysis
- Ability to meet deadlines and work in collaboration with others.
- Good grammatical and writing skills
- Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines
- Ability to follow direction and office protocols as defined by the Director
- Ability to deal with confidential data
- Strong organizational abilities and ability to work independently as needed
- Ability to work and communicate effectively in a team environment
- Good problem-solving skills
- Ability to de-escalate situations with donors and benefactors
Minimum Educational and Experience Requirements:
Associates Degree in related field or 2 years with similar responsibilities for database management, data input, and customer service.
PHYSICAL DEMANDS This position requires normal physical activity consistent with an office function.
WORK ENVIRONMENT This position requires the employee to work in an environment consistent with an office function. Some evenings and attendance at development events as requested by the Director.
