ESSENTIAL FUNCTIONS
Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.
- Responsible for answering phones providing information to callers.
- Greets and directs visitors.
- Maintain regular, reliable, and punctual attendance, work evening and/or weekend hours as assigned.
- Responsible for distributing office supplies.
- Perform photocopying, faxing, scanning and other duties as assigned.
- Sorts and files various records, reports, memos, etc.
- Cleans and maintains office equipment.
- Performs various clerical backup duties as necessary.
- May perform routine data posting and records maintenance work.
- May serve as messenger.
- Responsible for replenishing paper supply.
- Inputs on computer and performs routine typing.
- Listen to the customer queries patiently and solve it. If the problem doesn’t seem to solve, then forward the problem to the superiors.
- Performs related duties as required.
MINIMUM QUALIFICATIONS
Education and Experience
Any combination of education and experience likely to provide the required knowledge, skills, and abilities, typically:
- Active member of a Roman Catholic faith community.
- High School Diploma or GED equivalent required.
- Strong knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint).
- Strong knowledge of office administrative tasks and office equipment.
- One-year secretarial training.
- One-two years of secretarial experience.
Knowledge, Skills, and Abilities
Knowledge of:
- The mission and organizational structure of the Catholic Church.
- Basic computer skills including knowledge of current word processing software.
- English usage, grammar, spelling, and punctuation.
- Simple bookkeeping and record keeping methods and procedures.
Skill in:
- Typing at a minimum of 45 wpm.
- Effective verbal and written communication. For positions requiring bilingual skills, the incumbent must also be reasonably fluent in English and Spanish or other language.
- Report assembling.
- Short-range organizational planning.
- Telephone communications.
Ability to:
- Communicate effectively in written and oral form.
- Bilingual Spanish/English preferred.
- Provide excellent customer service skills by responding to common inquiries or complaints from parishioners, co workers or members of the parish community.
- Maintain confidentiality.
- Operate standard office equipment and computer.
Physical and Environmental Requirements:
- Occasionally lift up to 20 pounds.
- Sit for sustained periods of time on a daily basis.
- Perform tasks requiring intermittent bending, stooping, and walking.
- Requires ability to frequently lift or move objects up to 30 pounds.
- Sustain frequent movement of the fingers, wrists, hands, and arms.
Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
