POSITION PURPOSE
In person, welcome and assist visitors and callers to Sacred Heart parish. Provide clerical, telephone and computer assistance to staff members, work with volunteers and staff members to assist with parish mailings and bulletin assembly, assist with the parishioner data system, and event planning support and other duties as needed.
Major Duties And Responsibilities
- Assures a hospitable and welcoming presence for parish visitors, providing appropriate assistance and/ or referral to visitors. Answers phone calls, assures accurate and prompt transmission of messages.
- Provides general information to people calling or visiting the parish. Utilizes other church, social service, community and/ or government directories to provide accurate and helpful information to visitors. Routes callers to staff as needed.
- Correctly inform callers regarding SHP programs like Rent Assistance, Food Pantry, Clothing Bank, etc.
- As needed assists our Scheduler with the Parish Events calendar that includes the classes, events, and sacraments happening at SHP.
- If requested, provides clerical assistance as requested by the staff including calling to schedule or confirm meetings, filing, collating, copying, sorting and preparing labels, etc.
- If needed, assists in the distributing incoming mail and ensures the mailing of outgoing mail.
- Back-up for inventory of office supplies.
- Shares ownership of the staff@ email by checking and responds as necessary to the general inquiries.
- Helps parishioners requesting Mass intentions and Mass cards and provides information about donations.
- Assists with record keeping and entering information into the parish database
- Works with the staff to keep printed and social media information current and relevant.
- As staff of a Parish Family, correctly answer or direct inquiries to the correct location/person.
Responsible for opening and locking the office building each day or appropriately delegating that to another employee on a temporary basis.
- Fluent in English. In addition, applicants with strong Spanish language skills are preferred.
- We are looking for an enthusiastic self-starter who is willing to ask questions and learn about the day-to-day needs of running a church. We expect to train someone for many of the duties in this position, so general competency with computers and pleasant in-person and phone manners are key. Must complete and pass a background check and Safe Environment program components as required by the Archdiocese within 30 days of job offer.
- HS Graduate. AA or BS preferred.
Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, certain degrees and certifications.
