Reports To: Pastor
Job Purpose: The Secretary/Bookkeeper performs administrative and basic accounting duties. Oversees all day-to-day office operations and supervises volunteers as necessary.
Essential Duties and Responsibilities:
· Accurately maintains the general ledger and other journals, prepares monthly financial reports and statements for the Finance Council’s review.
· Reconciles monthly bank statements.
· Processes check requests and ensures proper authorization is secured for all expenditures.
· Assists in the preparation of annual budget in conjunction with the Finance Council.
· Prepares monthly, quarterly, and year-end reports for parish and diocese as needed.
· Understands diocesan policies, procedures, and guidelines and ensures parish operations run in accordance with these.
· Processes bi-weekly payroll ensuring all applicable taxes are paid timely and accurately.
· Participates in parish and diocesan programs and activities as directed by the Pastor.
· Attends meetings as required. Prepares meeting packets, records minutes and ensures all items are followed up on.
· Maintains a strict level of confidentiality on all matters relating to the parish.
· Maintains the parish calendar, including scheduling special events and committee meetings.
· Monitor and order supplies (office, janitorial, sacramental, etc.) as necessary.
· Answers phone, greets office visitors and assists in answering general questions while appropriately referring higher level issues to the pastor.
· Assists with the scheduling and record keeping of funerals, baptisms, and weddings.
· Maintain parish registry and other records as required.
· Creates initial draft of weekly bulletin and submits to pastor for approval.
· Perform other work-related duties as assigned.
· Maintains the Pastors daily calendar, schedule appointments in accordance with Pastor’s availability and communicates any scheduling changes as necessary.
Qualifications:
· Able to successfully pass all required background checks and be Virtus trained.
· Ability to work occasionally in the evening and weekends.
· A minimum of three years of bookkeeping/accounting experience is required.
· Proficient in Microsoft Office with a working knowledge of Excel.
· Proficient in the use of standard office equipment (computer, copier, etc.).
· Honest and trustworthy, able to follow procedures and report details accurately.
· Must be well organized, detailed oriented and able to work independently.
· Able to communicate and work collaboratively with the Pastor and all parish and diocesan employees and committees through email and/or telephone.
Physical Requirements:
· Ability to use a computer keyboard for up to 8 hours/day.
· Ability to sit, stand, bend stoop and twist.
· Ability to lift up to 20 pounds occasionally.
· Able to speak clearly and distinctly in person and via telephone.
· Ability to process basic mathematical problems including addition, subtraction, multiplication, division and percentages.
· Basic problem-solving skills.
· Ability to operate basic office equipment including computer, printer, copier, facsimile and telephone.

Pay: $17.00 - $20.00 per hour
Expected hours: 24 – 32 per week
