Procurement
· Assists Purchasing Analyst in informing other staff and vendors regarding procedural requirements (e.g. ordering and purchasing procedures, available funds, etc.) for the purpose of facilitating the purchasing process with established practices.
· Prepares written materials and electronic purchasing information (e.g. supply lists, reports, etc.) for the purpose of documenting activities, providing references, conveying information, and complying with established policy and guidelines.
· Processing of data and documents (e.g. bids, incoming purchase requisitions, purchase orders, mail, etc.) for the purpose of updating and distributing information and/or acquiring resources to support purchasing operation in compliance with established guidelines.
Purchase Orders
· Prepares and processes purchase orders to be reviewed and approved by Purchasing Analyst or Director.
· Maintains all purchase order records.
· Assists Purchasing Analyst and Nutrition Program Coordinator with recipe testing and development.
· Assists Purchasing Analyst with testing new products.
· Responds to inquiries of staff and the Child Nutrition Director regarding purchasing procedures for the purpose of providing information, direction and/or referral for addressing inquiry. Reviews documents and data (e.g. incoming requisitions, past purchases, reconciliations, inventories, etc.) for the purpose of ensuring completeness and accuracy of purchasing process.
Bids
· Assists Purchasing Analyst with reviewing, updating and mailing bid packets.
· After the bids come in, assist Purchasing Analyst sorting of bid packets by vendors for final review and comparison by the Purchasing Analyst.
Food Orders
· Processes bi-weekly food orders.
· Reviews/monitors produce and milk orders.
· Adjusts food orders as necessary to prevent under/over ordering and informs Café Managers of adjustments.
· Keeps Director, Purchasing Analyst, and Nutrition Program Coordinator abreast of information regarding shipping delays and deliveries.
· Coordinates the products for scheduled deliveries for the purpose of meeting time sensitive daily required needs.
Commodity Warehouse
- Monitors warehouse receipt reports and updates transactions summary reports daily.
Food Inventory
· Maintains food inventory for warehouse and cafes (receiving, distributing, ordering, etc.)
· Reconciles food inventory in Edison with S&W inventory as well as Purchasing Department spreadsheet.
· Maintains Purchasing spreadsheets, reviews inventory and informs Director and Purchasing Analyst of items low in inventory (needing to be ordered) and items high in inventory (needing to be placed on menus and used).
Equipment Inventory (Café and Central Office)
- Reviews, tags, and tracks all large/small equipment, timeclock tablets, computers, printers, and office equipment and maintain database for Accounting and Purchasing.
- Maintains and updates the inventory listing of property and conducts inventory reconciliations on an ongoing basis.
- Maintains and tracks all inventory in the CNP off-site storage facility.
- May be required to travel to school sites with approval from Director.
Accounting
· Reviews monthly cafeteria inventories (small equipment, large equipment, and paper products) then enters on an accounting spreadsheet (journal entry template).
· Ensures all café food (in Edison) and non-food inventories are up-to-date and accurate on a monthly basis.
Record Keeping
· Assists Purchasing Analyst in coordinating purchasing documents, files and records (e.g. purchase orders, vender files, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
· Maintain confidentiality regarding all Child Nutrition Program matters.
· Assists Purchasing Analyst with other duties as assigned.

EDUCATION AND TRAINING REQUIRED AT HIRE: Four (4) year degree preferred. Must have a high school diploma or graduate education diploma (GED). Specialized advance courses in business or equivalent to two (2) years of college.
CERTIFICATIONS AND LICENSES: None required.
CONTINUING EDUCATION: Must complete the Louisiana Department of Education continuing educational requirements each year.
EXPERIENCE PREFERRED AT HIRE: Five plus years’ experience in business and purchasing concepts and/or school food service.
SKILLS, KNOWLEDGE, AND EQUIPMENT REQUIRED AT HIRE: Knowledge of business and purchasing practices. Proficient in mathematics and writing skills. Proficient in knowledge of basic office procedures and equipment, including calculators (adding machines) and computers (networked or PC). Must have considerable knowledge of computer operation, communication, menu planning and inventory software. Must utilize skills in Microsoft Office, Heartland/MCS, and evolving technology.
SUPERVISION/TECHNICAL RESPONSIBILITIES: None required.
OPERATIONAL/MECHANICAL SKILLS: Must have considerable knowledge of effective management, methods, practices, and procedures relating to large scale food preparation and service, must have considerable knowledge of menu planning within Child Nutrition Program regulations, inventory management, and time management within the scope of daily duties while department operations are maintained. Also, must utilize clinical dietetics skills when implementing diet modifications for students with special diets. Must have considerable knowledge of dietary standards and nutritional needs of school age children as well as child and adolescent aged conditions. Must be familiar with federal, state, and local regulations in regard to all aspects of Child Nutrition Programs. Ability to develop and implement effective policies and procedures pertaining to Child Nutrition Program.
LANGUAGE/COMMUNICATION SKILLS: Must have the ability to follow oral and written directions, adhere to federal, state and local regulations, and Diocesan and Child Nutrition Program procedures; must be able to communicate effectively, both orally and in writing. Must have the ability to effectively present information and respond to questions from the Child Nutrition Program staff and school communities.
CONTACTS: There is daily contact with persons including administrators, vendors/suppliers, and coworkers in the department and/or in the district. Occasionally there is contact with state or federal officials. Work setting is very active and subject to frequent interruptions and continuous changes. Communication is standard English, both oral and written is required. Must give and receive information via telecommunication system. Collaboration is required when making many decisions. It is important that a good working relationship be established and maintained with others. Must exhibit caring, positive, and courteous disposition when receiving and assisting employees and visitors. Must accept and use constructive criticism and praise. Must refrain from

SAFETY TO SELF AND OTHERS: There is high exposure to stress due to repetitive motion caused by operating computer equipment. There is high exposure to eyestrain due to daily viewing of a computer screen. There is moderate exposure to cuts caused by handling paper.
JUDGEMENT AND DECISION MAKING: Work is assigned by established Diocesan business procedures and at the request of administrators. Other tasks are scheduled through personal evaluation and decision-making. This position requires independent judgment to respond to emergency situations. An error in decision making could negatively impact coworkers, Diocesan employees and students. Employee must adhere to Diocesan policies and administrative rules and regulations.
