Communion of Saints Parish is seeking a full-time Administrative Assistant to the Pastor and Parish Office Manager. The Administrative Assistant/Office Manager is responsible for overall front office activities, including the reception area, communications, and cultivating a pleasant environment in the Parish Office. Specific responsibilities shown below.
STATUS/CLASSIFICATION: Full-time, Non-exempt
REPORTS TO: Pastor
RESPONSIBILITIES: Maintains contacts with and supervises work of office employees and volunteers. Develops weekly schedule for office staff and volunteers ensuring coverage weekdays and weekend when church activities are scheduled. Oversees the ordering, and inventory of office supplies. Maintains the Pastor's calendar Manages facility/room scheduling and usage for all events, in coordination with staff and volunteers. Provide administrative assistance to the clergy, and staff. This may include managing schedules, handling correspondence, organizing meetings, and maintaining records. Ensures the telephone is answered and visitors to the Parish Office are assisted while maintaining a professional image for all the office staff and volunteers. Maintains the parish census database system. Records all sacraments in the sacramental registers, provides copies of these records (baptismal, first communion, confirmation, marriage) upon request and sends notification of sacraments to respective parishes. Maintain strict confidentiality regarding sensitive church matters and personal information of members. Collaborate with other church staff members and volunteers to support various ministries and initiatives. Attends monthly staff meetings and is responsible for planning and facilitating meeting when assigned. SKILLS: Ability to apply and exercise good judgment and safety standards. Possesses the ability to work well with limited supervision. Must be flexible and able to handle multiple tasks at one time. Demonstrated skill in reading comprehension, especially in understanding written technical directions and supervisory communications. Excellent organizational and time management skills. Proficiency in using office software, such as Microsoft Office Suite or equivalent. Good communication and interpersonal abilities. At least one year supervision experience required. Previous administrative experience, preferably in a church or non-profit setting, may be preferred.
EDUCATION/TRAINING: Degree: High School Diploma or Equivalent Must pass appropriate background checks.
