Title: Cathedral Administrator
Supervisor: The Dean
Hours: <20 hours/week. Schedule to be determined in collaboration with the Dean. Additional hours may be necessary during holiday seasons or in association with major events. “Comp time” will be offered to offset “peak season” time requirements. Limited “flex time” will be available by request, at the discretion of the Dean.
Compensation: $22-28 per hour, payable every two weeks; the option for a salaried basis may be offered after a probationary period of six months.

Vacation: Two weeks’ paid vacation (40 total hours) after probationary period.
Status: Regular Part-time, Non-exempt (<0.5 F.T.E.)
Position Summary:
Under the supervision of the Dean, the Cathedral Administrator provides general office support to the Dean, Chapter, staff, ministry leaders, and congregation, in order to support the ministries and mission of Cathedral. This work includes but is not limited to: data and records management, phone and email support, supplies and inventory management, communications work, managing use of church space by parish and outside groups, supporting church ministries and committees and collaborating with volunteers. The Cathedral Administrator will be a resource person for both members and non-members, and a welcoming and responsive presence in the office.
Essential Duties
Information Management
- Maintain a functional system of communication with the Cathedral.
- Maintain Cathedral records, including financial, membership (e.g., baptisms, burials, marriages, transfers, etc.), diocesan, physical plant, and other operational data, keeping them up-to-date and accurate.
- Produce reports, directories, and other documents from Cathedral records under the direction of the Dean, Wardens, Treasurer, committee leadership, on a timely basis. This will include the Annual Report to the congregation, the Parochial Report to the national church, and the Mission and Officials Report to the diocese.
- Coordinate the Cathedral calendar to facilitate building use by internal and authorized external groups.
- Produce and distribute weekly e-news and monthly Cathedral newsletter using both email and regular mail.
- Assist with preparing and distributing marketing materials, as directed.
- Assist with managing the Cathedral’s online presence (website and Facebook pages, online advertising, etc.).
- Ensure that signage and posters are updated regularly to reflect current events and activities.
Administrative Support
- Provide a welcoming and helpful presence in the Cathedral office.
- Respond to requests for information and resources via e-mail, telephone, and in-person visits.
- Guard the Dean and other staff members from unnecessary interruption by “walk-ins.”
- Provide administrative support to Chapter or other committees, including the preparation of meeting documents, posting minutes, making document copies, sending out mailings, etc.
- Place orders for supplies and equipment as authorized.
- Coordinate with the Treasurer to maintain Cathedral financial records.
- Liaising with the Accountant regarding line-item assignments, pay orders, check printing, bill forwarding, etc.
- Coordinate with vendors as delegated by Dean, Wardens, and staff members.
- Communicate regularly with Dean, Wardens, and Sexton, about facilities-related needs, including set-up and clean-up for special events.
- Produce rosters, correspondence, and other documents.
- Sort incoming mail and send Cathedral mailings and other outgoing mail.
- Maintain and manage Cathedral calendar.
Liturgy Support
- Assist with preparing and proofing worship materials and bulletins for Sunday morning and other services.
- Prepare flower donations information, assist with the coordination of lectionary and ministry schedules, sending reminders as scheduled.
- Provide assistance with tracking the liturgical calendar and planning for Cathedral events, as needed.
Volunteer Support
- Assist in recruiting, coordinating and scheduling volunteers as needed, under direction of the Dean or committee leadership.
- Organize workflow and maintain a tidy and usable office environment so as to enable effective use of volunteers.
- Assist in coordination of special events.

Knowledge, Skills and Abilities:
- Strong writing and grammar skills, including proofreading.
- Proficiency in word processing, spreadsheet, and database applications, with a willingness to learn new applications such as Realm, Constant Contact, etc.
- Demonstrated organizational skills, including calendar keeping, project coordination, and prioritization.
- Ability to manage workload effectively.
- Effective communication skills, both verbal and written.
- Ability to maintain confidentiality regarding persons and information.
- Knowledge of office etiquette.
- Knowledge of basic finance, including invoice and purchase order transactions.
- Knowledge of supply procurement, including the ability to research vendor prices and negotiate costs.
- Welcoming disposition, willingness to accept and serve all who come to the Cathedral.
- Must be able to lift 20 pounds.
- Must pass background investigation to comply with church requirements.
- Must be willing to undertake mandated, online Safe Church, Safe Communities training within first thirty (30) days of employment. (The time required for this training will be compensated and may be completed prior to one’s first day “on site.”)
Qualifications:
- Minimum 2 years of office experience, including communications, is required.
- Experience in a church or other ministry setting is preferred.
- Associate degree in administration, communications, office support, or related area, is desired.
- Working knowledge of the Christian Faith and liturgical churches is preferred.
- Priority will be given to candidates with a knowledge of the Spanish language.
