Job Duties and Responsibilities
St. Philip the Apostle Catholic Church is seeking to hire an Administrative Assistant for the parish office. The primary duties and responsibilities for the position include, but are not limited to, the following:
- Oversee Procedures to Correctly Process, Record and Maintain Parish Sacramental Records
- Seek and maintain knowledge on how to correctly record, correct and maintain Parish Sacramental records
- Cross train and instruct other administrative staff on these procedures
- Oversee Baptismal Process for those seeking baptism in our parish; oversee procedures used by receptionists who assist with this process
- Assist parish priests and deacons with Marriage Packets, Focus testing, etc.
- Assist parish priests and deacons with Annulments as needed
- Assist RCIA, parish priests and deacons with final processing of sacramental certificates prior to Easter Vigil
- Print original and replacement sacramental certificates as requested by staff, parishioners and others
- Record All Sacraments in Parish Registries for all Parish Ministries including RCIA and Religious Education
- Send out notifications to Churches of Baptism for those receiving sacraments at our parish
- Record sacraments in our Baptismal Registries when notification of sacraments are received from other parishes
- Work on updating our parish family database to include as much of the backlog as possible from our sacramental parish registries
- Oversee Publication of Weekly Parish Bulletin including meeting publishing deadlines to make sure a bulletin is available to parishioners each weekend or as needed for Holy Days
- Considerately educate parish staff and parishioners regarding the parish office deadline for information to be put in the bulletin
- Understand procedures for selecting and ordering bulletin covers, making corrections to the cover, submitting and uploading bulletin and bulletin insert files, ordering additional bulletins, etc.
- Share responsibilities for Updating and Communicating through Social Media to our Parishioners; coordinate, write and receive approval of messages from parish priests or deacons prior to posting messages on said media
- Other duties as assigned
Qualifications
- Must have excellent writing and grammar skills to write and design bulletin notices in an attractive, informative and understandable manner
- Must have or gain an understanding of Microsoft Publisher to produce weekly bulletin
- Must have knowledge of usage of various social media applications such as Facebook and Twitter or others that may be appropriate for parish use to communicate with parishioners and the wider community
- Must have a valid Texas driver’s license
- Submit to employment required screening, criminal background check and drug screening
- Complete certification in Safe Environment training provided by the Office of Safe Environment and Child and Family Resources
- Position requires adherence to all diocesan policies and procedures
