Job Title: Front Office Receptionist (Part-time)
Location: St. Vincent de Paul School
Wage Range: $22-25/hr.
St. Vincent de Paul Catholic School is seeking a talented and dedicated individual to serve as front office receptionist for the 2024-25 school year. We are a Catholic school in Denver, CO. serving 425 students in grades PK3-8th grade. Job summary:
The Front Office Receptionist is the first point of contact for guests of St. Vincent de Paul Catholic School. The Front Office Receptionist’s duties include welcoming guests and greeting visitors of the school as well as performing basic security measures prior to notifying the school’s point-of contact. The Front Office Receptionist will also coordinate front-desk activities, including distributing correspondence and answering and redirecting in-coming phone calls. The Front Office Receptionist will assist with covering the lunch break for the Front Office Secretary. This position will report to the Principal. The position is hired, evaluated by and reports to the principal.
Essential job functions:
General

- Abides by the Confidentiality Policy set forth in the Diocese Employee Handbook
Reception/Secretarial
- Greet and welcome guests as soon as they arrive at the front door of the main building
- Maintains school security by following safety procedures and controlling access via the reception desk
- Contacts the appropriate person and office to escort any/all guests into the school
- Arranges all visitors that will be entering a building on campus, with proximity to students, to be picked up by the contact person on campus who they have come to visit.
- Determine the need to activate an emergency alarm/notification
- Perform trained emergency procedures in the event of an alarm, lockdown/lockout, or medical emergency
- Answers, screens and forwards incoming phone calls
- Monitors tardy students in the morning & facilitates signing students in/out
- Ensures reception area is tidy and presentable, with all necessary stationery and material
- Provides basic and accurate information in-person and via phone/email
- Receives deliveries and coordinates movement to correct place in the school
- Drafts weekly Friday Forecast message
- Coordinates Fun Food with 7/8 grade volunteers
- Coordinates Hot Lunch ordering/communication
- Supports the front office secretary as needed
- Supports the admissions director as needed with phone calls
- Supports the principal in her work with vendors (i.e. water, hot lunch)
- Assists with preparing and setting up October/January Open Houses
- Coordinates through Principal front desk coverage during breaks or time off of work
- Maintains a desktop manual with frequently asked questions, processes and procedures
- Responsible for all other duties, projects, tasks, etc., as assigned.
Minimum qualifications:
Education:
High School Diploma Experience: Preferred, but none required
Training:
- Completion of favorable background check
- Completion of Safe Environment Training
- Completion of First Aid and CPR Training - every 3 years
Knowledge, abilities, and skills:
- Knowledge of the basic teachings of the Catholic Church
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite, Google platform for Schools
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
Working Conditions:
- This position works in standard office and school conditions, but is subject to stress due to the evolving and quickly expanding business needs, tight deadlines and heavy workloads
- Hours are conditional to the school’s hours of operation
- Required to manage high to moderate levels of stress
- Required to work a minimum of 5 hours per day
Mental/Physical Demands:
- Required to lift or carry classroom supplies, textbooks, furniture, and equipment to a minimum of 35 pounds
- Required to maintain composure and avoid inappropriate displays of emotion
- Required to sit, stand, bend, stoop, reach, grab, pull, hear, see, and speak on a daily basis
- Required to perform repetitive physical tasks such as computer keyboarding, writing, reading
