PARISH SECRETARY
IDENTIFYING INFORMATION
Position Title: PARISH SECRETARY
Status: Full time, 30-40 hours a week Reports to: Pastor
PRIMARY FUNCTION OF THIS POSITION
Performs a variety of tasks related to secretarial and administrative duties of the Parish Office for our Family of Parishes for Old St. Mary's Church and Sacred Heart Church;
POSITION CONTENT
MAJOR POSITION RESPONSIBILITIES AND REGULAR ACTIVITIES
1. must be able to handle confidential matters and handle strict confidentiality
2. maintains records for the parish office (e.g. recording of marriages, baptisms, funerals, new parishioner registrations, financial contributions, etc) in both parishes
3. assists in the scheduling of sacraments (e.g. baptisms, weddings, etc)
4. schedules and maintains Mass Intentions
5. manage parish projects/events
6. assists with church fundraisers
7. coordinates creation and distribution of office publications, including the parish bulletin, newsletter, and weekly Mass announcements assists with basic webpage management (e.g. posting the bulletin, etc)
8. responsible for the overall calendaring for the parishes, and the use of the parish spaces
9. assists the pastor in the management of the celebrant schedule and his personal calendar when requested
10. schedules staff meetings and lunches in coordination with the pastor
11. assists all the priests of the parishes as requested and able
12. assists in the creation of liturgical schedules
13. ensures with compliance with the Archdiocese's Decree on Child Protection
14. assists with the weekly collection count
15. performs all normal secretarial functions, including typing, word processing, data entry, and filing
16. distributes mail and other related material
17. prepares regular and bulk mailings
18. monitors and orders office supplies and maintains office equipment
19. screens and directly handles telephone calls; records clear and accurate messages
20. handles routine questions about policies
21. greets and meet visitors
22. manages parish office staff (e.g. Office Assistant)
23. may be requested to help open and lock church as needed
24. will need to also visit Sacred Heart Church for duties
performs other duties as appropriate to position and as directed
POSITION SPECIFICATIONS/REQUIREMENTS
SKILLS, KNOWLEDGES AND/OR ABILITIES (SKAs)
1. must have good written and verbal communication skills
2. must be flexible and present self in a professional manner
3. must be able to handle a wide range of different people in various circumstances, some of which may be stressful, in a professional manner
4. must have good computer skills, or the ability to learn quickly, including but not limited to the use of email, network configuration, programs used by the Archdiocese for bookkeeping and benefits, the Microsoft Suite, Google Apps, and the Adobe Suite (e.g. InDesign)
5. Employees of Old St. Mary's and Sacred Heart Catholic Churches will have knowledge of the Catholic faith, a willingness to work for a Catholic, faith-based agency and adhere to the policies of the parishes. Employees will not publicly oppose the teachings of the Catholic faith nor publicly advocate for any position in conflict with Catholic teaching, or the specific positions of the Archdiocese of Cincinnati or the United States Conference of Catholic Bishops. This requirement includes any public speech, demonstration or writing, including the use of social media or other digital technologies.
6. must be able to pass a background check and complete the Archdiocesan requirements for a safe environment
EDUCATION, TRAINING AND/OR EXPERIENCE
1. Catholic candidate preferred or willing to learn the language and requirements of the work specifically around sacrament scheduling and liturgical coordination
2. High school diploma or equivalent
3. Additional training in administrative matters
4. 3-5 years experience in general office and business procedures

Normal parish office environment
