Magnify is seeking a highly organized and professional **Executive Administrative Assistant** to provide essential support to the Executive Director, Senior Director of Operations, Director of Development, and HR Generalist. This on-site role plays a key part in ensuring operational efficiency, supporting leadership, and creating a welcoming atmosphere for visitors.
Duties and Responsibilities:
- - Manage schedules, coordinate meetings, and maintain calendars for senior leadership.
- - Prepare and proofread correspondence, presentations, and reports.
- - Attend and take accurate minutes at board meetings, ensuring timely distribution.
- - Open, sort, and distribute incoming mail.
- - Assist with maintaining the residential wait list, including updates and correspondence.
- - Serve as the first point of contact for visitors, welcoming and directing them professionally.
- - Occasionally conduct facility tours for visitors, donors, or prospective families.
- - Provide logistical support for fundraising campaigns, donor meetings, and grant preparation.
- - Support HR with interview scheduling, onboarding, and file maintenance.
- - Oversee office operations, including ordering supplies and managing vendors.
Requirements
- Bachelor’s degree preferred or equivalent experience in administrative support.
- Minimum of 3 years in an administrative support role, preferably in a nonprofit environment.
- Experience with board meeting minutes and fundraising support is a plus.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite and familiarity with tools like Salesforce or donor management systems.
- Exceptional written and verbal communication skills.
- Professional and friendly demeanor with a focus on confidentiality and discretion.
