The Grant Accountant is responsible for managing a portfolio of grants, ensuring compliance, and accurately tracking financial performance. This role involves producing monthly invoices for reimbursement, maintaining detailed accounting records, and collaborating with program directors and grant compliance to optimize fund utilization.
Essential Functions
- Prepares monthly grant claims, reviews expenditures for reasonableness, and files with grantor in a timely manner. Verifies that payroll distribution charges and other expenses are reflected accurately in the accounting records and reported properly in the contract claims.
- Records, maintains, and reconciles grant receivable balances monthly.
- Prepares grant status report packages monthly. In collaboration with the Controller, Senior Grant Accountant and/or Chief Financial Officer, meets monthly with program Directors and department managers to review the status of grants and to support the successful completion of grant contracts in accordance with budgetary and other financial contractual requirements.
- Monitors, prepares, and files quarterly and year-end close out reports as required by grant contracts.
- Maintains and provides spreadsheet documentation for compliance with single audit requirements.
- Performs advanced-level work requiring the analysis, interpretation, and audit of grant and fiscal data.
- Prepares adjusting journal entries as required. Ensures that general ledger entries for employee time charged to grants align with payroll records and timekeeping systems.
- Supports the annual OMB A-133 single audit by providing documentation as requested by the agency’s independent auditors.
- Monitors budget compliance with grant contracts and communicates with program Directors and department managers to resolve grant accounting issues.
- Reviews new contracts for incorporation into the accounting and reporting process as outlined above.
- Supports the grantors’ monitoring activities by providing documentation as required for monitoring visits and monitoring reviews.
- Maintain excellent communication with grantors.
- Assures timely input of applicable agency budget data into the financial accounting system.
- Supports Grant Compliance to maintain documentation storage using the Agency’s preferred platform.
- Assists with grant contract budget preparation both for applications and revisions to contracts.
- Is thoroughly familiar with Catholic Charities' policies and procedures, as well as relevant grantor policies, procedures, and regulations. Performs job functions in compliance with these guidelines.
- Participate in professional development opportunities and training to support grant accounting compliance, best practice standards, and quality improvement efforts.
- Participate in department-wide cross-training.
- Support the Mission, Vision, and Values of Catholic Charities in the performance of all essential job functions and responsibilities.

- Two-year accounting degree or equivalent or two or more years’ experience with full cycle bookkeeping.
- Advancedcomputer literacy required including experience with Microsoft 365 Suite. Advanced Excel skills including the use of pivot tables, v-lookup, and formulas required.
- Understanding and experience with a large ERP accounting software experience desired.
- Skilled and experienced in general ledger, accurate 10-key by touch, and minimum typing skills.
- Ability to maintain accounting files.

- Strong written and verbal communication; organization, conflict resolution, and problem-solving skills.

- Passion and enthusiasm for the mission of Catholic Charities and its clients.
- Valid driver license and at least state required minimum of automobile insurance, clear DMV driving record, and ability to provide own transportation. Must be willing and able to travel between agency sites.
- Must pass DOJ background clearance (fingerprinting) in accordance with the Diocese of Santa Rosa’s policies prior to start of employment.
- Bilingual (English/Spanish) preferred, but not required.
