St. Mary Academy Bay View seeks a full-time Welcome Desk & Attendance Manager forimmediate hire. The Welcome Desk & Attendance Manager at St. Mary Academy Bay Viewserves as the welcoming Mercy presence for all who enter or contact the Academy.
Reporting tothe Academy Principal, this role is essential in fostering a welcoming and safe environment aswell as contributing to the efficient operation of St. Mary Academy Bay View.Status: Full-time, Exempt, 12 months Department: Middle & Upper SchoolPrimary Responsibilities: Campus Security: Receives, greets, and issues visitor passes to anyone who is not a faculty or staffmember; Alerts Deans of Middle, Upper, and Lower School and Director of Facilities of anysuspicious activity; and Ensures that all students are accounted for and registers late arrivals and earlydismissals.Visitor and Communication Management: Greet visitors in a pleasant and professional manner, directing them as needed; Answer the main Academy phone line, providing exceptional customer service; and Maintain the electronic information screen in the front foyer, regularly updating it withrelevant and engaging content.Attendance and Data Management: Manage daily attendance for students and faculty together with the Lower SchoolAdministrative Assistant; Receive, record and register faculty and staff absences, coordinating with the Director ofthe Presidents Office, who tracks time off (sick, vacation and personal days); Generate attendance reports to identify students at risk of chronic absenteeism orconsistent tardiness and informs the Dean of Students; Contact families to verify absences; Prepare and sends chronic attendance/tardy letters to families; Prepare and issues admit slips to class, permits to leave school early, hall passes, andtardy slips; and Update and send morning announcements.Student and Faculty Support: Ensure faculty, staff, and eligible students receive parking passes.Internal Collaboration: Work closely with the Academys Lower School and Middle & Upper Schooladministrative offices, as well as the Presidents Office.Computer Skills: The job requires specialized computer skills and familiarity with student information systems ispreferred. Must be adept at using various applications including database, spreadsheet, reportwriting, project management, graphics, word processing, presentation creation/editing,communicating by email and using scheduling software.Additional Duties: Assist with and/or attend scheduled meetings and school functions outside normalschool hours as required.
