Brief Job Description: A Parish Secretary oversees the operation of the Church Office and assists the pastor and staff with a variety of administrative duties. This position ensures that the Parish is running efficiently and accurately with discretion for people’s personal information.

Essential Duties & Responsibilities:
• Assist Parishioners and others either by phone or in person with their requests and needs. This may include, but is not limited to: taking Mass Intentions, answering questions, taking information for funerals or baptisms, and transferring calls to appropriate staff.
• Make or return phone calls, as necessary.
• Record envelopes in Parish Data System (PDS) application and prepare collection report.
• Register new Parishioners, recording information, and sending new Parishioner welcome information.
• Take Mass intentions, complete receipt form, and prepare a Mass Card, when requested.
• Assist with weekly bulletin mailings.
• Prepare “letters of substantiation” and mail to donors (for donations over $250).
• Sell tickets or take reservations for Parish events, as necessary.
• Record Sacraments in our Parish record books and send out Sacramental info to other Parishes to record in their books.
• Prepare “year-end” letters for tax purposes to send to families upon request.
• Upkeep of Parishioner information and activity in the PDS application.
• Other tasks may be assigned as skill is assessed.

Desired Skills:
•Must have excellent computer-based office skills and be well organized.
•Must have good communication skills when handling phone, email and in-person inquiries.
•Parish Data Systems (PDS) application knowledge is appreciated but not required.

Salary: $16-$20 per hour (dependent on experience)
